The challenge
A private equity firm managed a large portfolio of individual assets through multiple operating partners. Portfolio information arrived in separate spreadsheets, with each partner using its own format. Before analysis could begin, the team had to gather, validate and reconcile those submissions into a consistent view.
That fragmentation affected both internal analysis and investor reporting. Routine data work consumed around 150 hours a month, while an investor information request could take eight days to answer. As the portfolio expanded, the firm needed a more dependable way to understand its assets without adding the same manual work at every step.
Our work
Alex and the Plexi team worked with the firm to clarify what it needed from its data and develop the management and analytical capabilities to support it. The engagement brought operating-partner submissions into a common model for portfolio analysis and reporting.
Partners could continue sending their existing workbooks. The new process handled the differences between formats and ran alongside the previous workflow before cutover, allowing the team to validate the results. Reported figures remained traceable to their source files, giving the team a way to check the information behind an investor answer.
Plexi both built and operated the data infrastructure. The approach evolved with the client as the team learned more about the requirements and adjusted the analytical solutions. Full production was reached in seven months, with ongoing operation forming part of the engagement.
The result
Reported monthly effort fell to under ten hours, and investor responses moved to the same day. The firm could work from information that had already been brought together, instead of reconstructing the answer across several systems for each request.
The value was both operational and analytical: less time spent preparing data, faster access to portfolio information, and a foundation that could support a growing business. The partnership covered the continuing use and development of that foundation as well as its initial delivery.
